FAQ

1. Do you have an in-house caterer or can I provide my own?

At Perceval House and Greenford Hall all clients are required to use a caterer from our approved list. Applications for external catering are considered on a case by case basis. Additional charges may apply, and full details are available on request.

2. Can I organise a bar for my event?

Greenford Hall:
If you plan to serve alcohol for free, you may provide your own bar. For a pay/cash bar, a Personal Licence Holder must be present—whether provided by a bar company, your caterer, or an approved individual. In all cases, inform the Event Manager. (Please note draught beer is not allowed due to gas canister restrictions.)

Perceval House:
Perceval House currently has no premises licence, so alcohol is not permitted on site unless you have a temporary event notice. Please speak to the team for details


3. Do I need to book security staff?

All public, ticketed, and pay/cash bar events must have SIA registered security present to ensure guest and venue safety. We may also require security based on the nature of your event. Upon completion of your pre application, booking form, or risk assessment, your Event Manager will confirm whether security is required and the number of guards needed, and all security will be sourced through our in house team.

4. Do you provide furniture?

We have a limited amount of furniture included in the venue hire, such as tables and chairs. A member of the Hospitality and Events team or your Event Manager will advise what is available, and we will set the room up in advance with your desired layout ready for your arrival.

5. Are the venues accessible?

Our venues are designed to be accessible for all guests. Please note while most areas are fully accessible, the balcony sections and stage at Greenford Hall are not wheelchair accessible. If you require assistance or alternative accessible staging arrangements, our team is happy to help.

6. Is there parking on site?

Perceval House has a public car park with 110 spaces across the road which is free to use Monday – Friday after 6pm. Charges apply at the weekends and on bank holidays. In addition, there is plenty of street parking and there are several public multi-storey car parks within a 5-10-minute walk.

Greenford Hall has a private car park with approx. 30 spaces. In addition, there is a public car park across the road on Oldfield Lane South.

7. Will other events be taking place at the same time as mine?

Our venues are located within public buildings, so members of the public or staff may be present in surrounding areas. Perceval House, for example, has council staff on the upper floors, and the ground floor rooms and Atrium may be in use during the week. However, you will have exclusive use of the room(s) you have booked. If booking multiple rooms, you are responsible for managing traffic flow between them.

8. What is included in the hire?

Your venue hire includes furniture, full room setup in your chosen layout, and an event planning meeting conducted prior to your event to ensure everything runs smoothly and safely. A dedicated Event Manager and on site staff support are provided as required, and we will be present for the duration of your hire to open and close the venue and ensure that your event runs as seamlessly as possible. Audio visual equipment is available at an additional cost.

At Greenford Hall, pre set in house lighting (not including lighting engineers or bespoke lighting design) and on site parking are also included.

9. Do you have audio visual (AV) equipment available?

Yes, we do. Please enquire with your Event Manager for details on availability and pricing. We also have AV engineers through our agreed partner, who can assist you at an additional cost if you have more complex requirements.

If you plan to bring your own AV equipment on site, you must provide a Risk Assessment and Method Statement (RAMS), a valid PAT test certificate and Public Liability Insurance (PLI) of £2 million.

Greenford Hall:
The hall has a specific stage lighting system, which can only be operated by our agreed partner engineer, and must be booked in advance.

10. Can you hold a date provisionally?

Yes. We can hold a date in our diary for your event provisionally for up to 2 weeks. If another customer expresses interest in the same date and wishes to proceed, we will contact you by phone and email. You will then have 48 hours to respond and make a decision. If we do not hear from you within that timeframe, the date will be released automatically.

11. What is the booking process?

You will then be sent a booking form, which must be completed and returned to begin the booking process. You may also be asked to complete a pre application form, which provides more detail about your event. As part of our process, your booking form and pre application may be sent to our Licensing Department for approval, which takes up to 5 working days.
You will be allocated an Event Manager, who will be your main point of contact. You will also receive our contract, which includes full terms and conditions, including cancellation fees.
A full invoice will be issued, which includes full details of accepted payment methods. You will have 2 weeks to review and sign the contract and pay the required 50% deposit. The remaining balance is due at least 6 weeks before your event, or the full venue hire fee (100%) if your event is less than 6 weeks away.

Your booking is only confirmed once the contract has been signed and the required payment has been received.

12. How do I arrange a venue viewing?

To book a viewing, please contact the Hospitality and Events team on 020 8825 6060 or email venuehire@ealing.gov.uk to arrange a convenient time. The team can answer any questions you may have before or after your visit. Once your event is confirmed, your Event Manager will be available throughout the planning process to support you and assist with any queries in the lead up to your event date(s).

13. What are the minimum hire periods for the venues?

Greenford Hall:
Monday–Thursday (any time until midnight) and Friday (until 5pm): Minimum hire period is 2 hours.
After 5pm on Fridays, a 6 hour minimum hire applies.

Weekends and bank holidays: Minimum hire period is 8 hours, or you may choose one of our weekend hospitality packages. Please see the Fees section for full details.

The latest an event can run is 1am, depending on the type of activity, the nature of the event, and the conditions of the premises licence.

Perceval House:
Monday–Friday (any time until 10pm): Minimum hire period is 2 hours.

Weekends and bank holidays: Hire of all rooms and the atriums is for a minimum of 4hrs where at least two rooms are booked at the same time or for a minimum of 6hrs if one room is hired as a single space (any time till 5pm) or you may choose one of our weekend hospitality packages(any time till 10pm) Please see the Fees section for full details.

The latest an event can usually run is 10pm depending on the type of activity, the nature of the event, and the conditions of the premises licence. However, please ask one of the team for more details if you would like your event to go on longer than 10pm.

14. Do I need to include set up and breakdown time in my booking?

Yes. Please ensure your total booking time includes sufficient set up and breakdown time.

15. What condition should the venue be left in after my event?

Your venue will be cleaned and set up prior to your function. After the event, you must leave the venue in the same condition as when you arrived. Kitchens should be cleaned and all rubbish removed; this is normally carried out by your caterer, supplier, or by you as the customer.

Please note:
• You are responsible for bringing your own black bags for rubbish disposal.
• Brooms are available on-site for cleaning.
• Your Event Manager can show you the location of the rubbish disposal area.

At the end of the event, your Event Manager will carry out a final inspection to ensure the venue has been left in a satisfactory condition.

16. Can I decorate the venue for my event?

Yes, you may decorate the venue within our decoration guidelines. Any draping must be attached using existing hooks or must be free standing. Please note that no staples, tacks, or other fixings may be attached to walls, floors, or stages.

Tea lights in enclosed holders are permitted at Greenford Hall; however, no other naked flames are allowed in any venue.

Please be aware that we do not provide décor services. Your Event Manager can advise you on what is permitted and answer any decoration related questions.

17. What is the capacity of the venues?

Capacities vary depending on the specific room and the layout you require. For full details, please refer to the Venue Hire Information or ask your Event Manager, who will be happy to advise you on the most suitable space for your event.

18. Are there any restrictions on the types of events allowed?

Yes. Certain event types are restricted due to licensing requirements. For full details, please speak with your Event Manager.

19. What am I responsible for as the customer when hiring a venue?

We’re here to support you every step of the way, and there are a few things we ask you to take care of to help ensure your event runs smoothly. As the event organiser, you’ll need to submit all required paperwork by the given deadlines, including your risk assessment and any supporting documents. You may also need to provide your own First Aiders or Event Marshals, depending on the nature and size of your event. We’ll invite you to planning meetings, and we ask that you attend and stay engaged throughout the process. You’ll also be responsible for signing and returning any necessary forms, keeping communication open and timely, and following all venue terms, conditions, and our code of conduct. These steps help us work together to create a safe, enjoyable and well coordinated event for everyone.
